Nolan Associates

Covid-19 Virus

17 Mar 2020

To our clients,

Following further advice from the government over the weekend and the potential that staff may be required to be off for a period of time we can I reassure everyone that Nolan Associates have put in place a robust system of communications to allow the operation of our business under a developing Coronavirus outbreak.

Currently all staff are working within the office however we have installed a number of IT procedures to ensure continuity throughout the isolation phase.

TeamViewer system to allow staff to work from home, clients offices or anywhere with an internet connection should the necessity arise.

Accounting, planning and time management systems are web based and again can be accessed by all staff from home or their chosen place of work.

We have rehearsed this over the previous weeks and can offer the following as an alternative to meeting in person:

Audio Conference calls can be used for meetings.

All Associates and Directors have mobile phones and can dial in to conference calls.

Video Conferencing using Microsoft Teams has been set up on work computers.

Alternatively all Associates and Directors have Iphone Facetime and multi user conferencing can be set up using the instructions below.

How to place a group FaceTime call using FaceTime on iPhone and iPad

Open FaceTime on your iPhone or iPad.

Tap the + button in the upper-right corner.

Enter the name or number of a person you want to call.

Enter up to 30 additional contacts.

Tap Video or Audio to place your FaceTime call.

Site visits and meetings will continue on a ‘need to attend’ basis.

Site surveys will continue as these tend to be done by isolated staff.

All staff have been given the following information.

Nolan Associates are actively monitoring the current situation and are keeping up to date with the recommendations to contain the virus.

We have a strategy in place to inform members of staff in regards to preventing the possible spread of COVID-19.

•           Information posters can be seen around the office outlining good hygiene practices.

To reduce the risk to our staff, we have installed hand cleaning stations at office entry points.

•           A document has been issued to all members of staff with advice on what to do if they, or

their family, show symptoms of COVID-19, and highlighting further practices that can be

employed to reduce spread of virus, such as social distancing including travel

arrangements, meetings etc. See Covid 19 Nolan Associates Protocol.

•           Updated documents issued by official bodies will be distributed to staff via email as

changes occur, to keep them up to date with the current guidelines.

IT & Business Continuity

Self-isolation protocols are in place. Staff will be able to work from home via VPN/Screen Sharing

systems, meaning production will still continue. See IT guidance notes.
